The Department of Neurobiology, Care Sciences and Society (NVS) conducts world-leading research in aging, dementia, epidemiology and care sciences. Professor Miia Kivipelto’s research group - the Nordic Brain Network (NBN) - is part of the division of Clinical Geriatrics and belongs to KI Center for Alzheimer Research. The largest part of this multidisciplinary research team is mainly located at KI but team members are also present in Finland and at the Karolinska University Hospital.
Professor Kivipelto’s research group carries out internationally renowned research focusing on prevention, early diagnoses and treatment of dementia and Alzheimer’s disease. The research team has carried out different prevention trials and are involved in several international collaborations and networks (https://ki.se/en/nvs/nordic-brain-network).

Your mission

The executive assistant will work closely with professor Kivipelto and will be a key player for hands on administrative tasks. The work place in located in KI Solna, however local and international travels will be involved. Professor Kivipelto’s group is in an intensive growth phase, making this an opportunity for the successful candidate to develop professionally and contribute shaping the role, in line with the group’s objectives and vision. Responsibilities include but are not limited to:

  • Handling of travel administration, planning and coordination of professor Kivipelto’s travel schedule (also for selected NBN members). Including communicating with procured travel agencies, perform bookings and administrate reimbursements.
  • Coordinating and maintaining up to date professor Kivipelto’s calendar, with a focus on meetings and travels.
  • HR administration of contracts, salaries, employment extensions and scholarships.
  • Daily maintenance (incl. helping keeping office space in good shape, ordering office supply and service, interactions with suppliers etc.), work-related events, e-mail review, administration of invoicing and to a certain degree preparing progress reports.

The work is both autonomous and team-based and requires internal and external interactions with people working at different levels, within different organizations.

Who You are

The successful applicant is responsible, independent and delivery-focused. Has high problem solving skills and works effectively both independently and within the team. The role requires flexibility and ability to deliver under tight timelines. Varying working hours occur in periods. The applicant should hold a relevant education/degree and should possess advanced writing skills in Swedish and English. Service oriented employment(s) and skills are a merit.
